Add New Product

<Main Menu> <Product Maintenance> <Add New Product>

If you wish to add products onto the system Click the Add New Products button on the Product Maintenance Screen to display the following:

 

 

Product Code

When adding a product to the system the first stage is to enter a product code. Generally the product code is taken from the barcode of the item however, if no barcode is available then any code that uniquely identifies the item may be used. The product code may be up to 13 characters long and can include both numbers and letters but no spaces.

Scan or type the barcode from the product (if manually entering the code ensure to press return after). Once the code is entered the systems performs a check of the current stock. An error message will be generated if the stock details have already been captured, you will be prompted to either re enter a different code or to proceed to the stock delivery screen.

Product Description

The Product Description is a unique description of that item. The description should be both descriptive and brief as possible. The description is displayed on the receipt, sale screen and stock reports. It is generally a good idea to include item dimensions in the description i.e. Gore-Tex Jacket (38).

Enter Catalogue Code

The Catalogue Code is normally used to re order stock. This code is displayed on the purchase order printouts and will negate the need of searching for codes at stock re order time. The purchase order printout may then be faxed to your preferred supplier.

Department Code

Enter the Department Code for the product by selecting the cursor down key on the keyboard. A drop down list of the pre entered codes will be displayed, select the required code by scrolling through the list and pressing enter. If you do not wish to track the department code then select N/A from the drop down list.

Supplier Code

Enter the Supplier Code for the product by selecting the cursor down key on the keyboard. A drop down list of the pre entered codes will be displayed, select the required code by scrolling through the list and pressing enter. If you do not wish to track the department code then select N/A from the drop down list.

Quantity in Stock

Enter the current quantity of stock held for that item. The range may be 0 to 9999.

Min Stock Level

Enter the minimum stock level (1 to 9999), the being the lowest quantity you consider should be held in stock. The purchase order report provides a list of all products that are below this level.

Min Order Quantity

Enter the minimum order quantity (1 to 9999) that may be ordered for that product i.e. pills may only be ordered in packs of 12. The purchase order report uses this quantity when calculating the order quantity.

Sell by Value.

This option determines whether the product is to be sold by quantity or by value e.g. dried fruit may sold by weight as opposed to cartons of juice, which are sold by quantity. If selected (box ticked) then you will be prompted for a value each time the product is sold.

Enter Cost Price

Type in the cost price of the product and press the return key. The cost price is used for calculation purposes during stock valuation reports.

Tax Zero Rated.

This option determines whether the product is zero tax rated i.e. children’s clothing is 0% VAT. If you select this option then the product will be given a VAT rate of 0%.

Click on the Save button to save and add the new product details to the system. When finished press the Esc key to return to the Product Maintenance Screen.

Repeat F10

This option is used to reduce the repartition of data entry when adding multiple quantity types of stock onto the system. Simply enter the new product code and press the F10 key on the keyboard after the cursor has moved in to the Product Description field. All details of the previous item (except the product code) will be displayed, tab through the screen and modify as required and select Save.

Note – It is mandatory to enter a data into every field.
